In May 2021, The Virginia Community College System updated it’s Zoom cloud recording retention practices. Starting September 1st, 2021 the VCCS Systems Office will reconfigure Zoom to automatically delete cloud recordings older than 12 months.

What does this mean to you?
- If you have ZOOM Cloud Recordings older than 12 months, they will be marked for deletion on September 1, 2021.
- Future ZOOM Cloud Recordings will remain in your ZOOM account for 12 months, then they will be marked for deletion.
- If you have ZOOM Cloud Recordings older than 12 months that you would like to keep, you need to download and store those recordings outside of ZOOM.
How do I check to see if I have Zoom Recordings stored in the cloud?
- Zoom cloud recordings can be accessed from the Zoom web interface.
- To access the Zoom web interface, Log into MyVWCC and click on the Zoom tile. Next choose “Sign In via MyVCCS SSO.”
- Once into the Zoom web interface, click on “Recordings” in the navigation pane on the left side of the window.
- Recordings are stored by date and can be searched.
How do I download a copy of recordings I would like to keep?
- Zoom cloud recordings can be downloaded from the cloud by clicking on the “More” tab or clicking on the link in the File Size column.
- Zoom recordings can only be downloaded manually, one at a time. Due to the way recordings are stored, there is not a mass download feature.
I have Zoom recordings in the cloud that I would like to keep, where can I safely store them?
- Users can store recordings on local computers, external hard drives or USB flash drives.
- Virginia Western employees have access to several cloud storage applications such as Microsoft One Drive, Google Drive, and Panopto.
- DO NOT store video files on ANY shared Virginia Western hard drives such as the I: drive, K: drive, or L: drive.
Video recordings take up a lot of space. When choosing a storage location note the pros and cons of each platform.
Microsoft OneDrive – 1024 GB
- Files can be shared with internal and external users.
- Links can be inserted into Canvas.
- License Maintained by VWCC IET.
Google Drive – Unlimited storage (For Now)
- Files can be shared with internal and external users.
- Links can be inserted into Canvas.
- License maintained by VCCS Systems Office.
Panopto – Unlimited storage
- Files can be shared with internal and external users.
- Links can be inserted into Canvas.
- Zoom files can automatically be uploaded into Panopto folders.
- Panopto files can be stored into course folders only accessible by students in that course section.
- Platform is maintained and supported by VWCC Media Geeks.
- License is maintained by VWCC Media Geeks.
VWCC users are clear to store videos on the platform of their choosing. However, the preferred storage platform is Panopto.
I have Zoom recordings in the cloud that I would like to move to Panopto, how do I do that?
