Reports to: Vice President of Institutional Advancement (FA098)
Under the direction of the Vice President of Institutional Advancement, manages a comprehensive grants program for generating external resources and supporting strategic college initiatives. Provides college and foundation-wide support in researching, planning, budgeting, writing/editing and preparing grant applications. Assists with ensuring regulatory compliance. Provides professional development on proposal writing and management. Assists the Vice President with special projects.
Work Tasks & Duties
Grant Management (40%)
Monitors all programs to ensure compliance with federal, state, and private grant or contract regulations, including monitoring budgets, writing reports, contracts and completing other appropriate compliance related tasks. Maintains liaison with appropriate funding agency specialists and grant partners. Conducts proposal writing workshops to train faculty to develop proposals. May manage select funded grant programs. Reviews and updates the Grants Development and Management Handbooks annually. Collaborates with the Educational Foundation on reviewing the Innovation Grant application and submission process. Schedules appointments and meetings. Organizes meetings by preparing materials for distribution, sending meeting notifications, and making arrangements for facilities. Records meeting minutes and distributes follow-up materials after meetings. Maintains grants files.
Develops, formats, and maintains spreadsheets, databases, presentations, documents, and correspondence using computerized software such as Microsoft Office (e.g., Excel, Access, PowerPoint, and Word). Adheres to deadlines in the completion of projects. Maintains a tickler file to ensure that correspondence and other action items are completed by a specific deadline. Maintains electronic and paper filing systems in a logical and accessible manner. Monitors fiscal accounts for the Department. Develops periodic reports on grant activity at the College for presentation to the Local Advisory Board, Educational Foundation Board, and other stakeholders.
Development and Maintenance of Collaborative Working Relationships (40%)
Designs programs responsive to identified institutional needs and securing funding to operate these programs. Initiates, facilitates and/or conducts interdepartmental meetings to identify and prioritize projects and to coordinate and research grant preparation assignments. Researches data, develops, writes, edits, and submits funding proposals; reviews and edits draft applications from other stakeholders to ensure accuracy, completeness and clarity. Attends stakeholder bidder conferences and other meetings related to proposal development and grant proposals with funding officials in coordination with the project director and appropriate stakeholders. Develops and/or reviews proposal budgets and coordinates with the Finance Office. Monitors and prepares institutional responses as requested to federal and state legislation and regulations which impact educational funding. Confers with other institutions, agencies, or organizations in cooperative and/or consortia agreements related to grants. Routinely updates the Grants Development, Special Projects web and intranet sites using web page software. Maintains a resource development library.
Identification of Funding Sources and Grants Development (15%)
Performs internal reviews of institutional needs and assess the feasibility of obtaining external funding for project and program proposals. Researches local, state, federal, private, and corporate sources of funds. This includes reviewing materials, listservs, meetings on and off campus, telephone contacts and correspondence. Develops and implements a system for the timely distribution of information on funding programs to appropriate stakeholders. Develops an annual plan for submission of grant proposals. Supervises the development of proposals. Researches grant and higher education topics to add depth to proposals. Prepares institutional background and capability statements, area information, and other narratives of a general nature for inclusion in grant proposals. Writes and maintains the Grantology blog and provides periodic grant updates and announcements in the college Weekly Bulletin . Develops and maintains grants database.
Other Duties (5%)
Assists the Vice President and Institutional Advancement Division with special projects or college events. Participates in the College’s governance structure. Performs other duties as assigned.
