Reports to: Vice President for Institutional Advancement
This position serves within the Office of Institutional Advancement, made up of Public Relations and Marketing, Grants Development, the VWCC Educational Foundation, and other programs and activities promoting the college throughout the service area. These various functions operate in a strong team environment with each one dependent upon the other to fulfill the goals and objectives for the college. The objective of the Office of Institutional Advancement is to promote understanding of the College – its people, programs, policies, and needs – among its varied constituencies, and to secure adequate public and private support essential to the fulfillment of its mission. This position establishes, maintains, and administers a comprehensive college-wide grants development program in coordination with the Office of Institutional Advancement. Researches and identifies potential grant funding sources for the College, coordinating with faculty the preparation of grant proposals, communicating with funding agencies, and overseeing the administration of the grant awards. Carries out special administrative projects as assigned by the President. Performs duties as assigned by the President in support of programs emanating from the President’s Office.
Work Tasks & Duties
Grants Development Activities
30% | Researches and identifies public and private grant funding sources that are compatible with the purposes and goals of the institution; develops and implements a system for the timely distribution of information on funding programs to appropriate faculty, staff and administration; and develops an annual plan for submission of grant proposals. Supervises the development of proposals; researches grant topics to add depth to proposals; and prepares institutional background and capability statements, area information, and other narratives of a general nature for inclusion in grant proposals. |
30% | Develops a close working relationship with public and private program offices, congressional offices, and federal reviewing and/or approving agencies. Attends bidder’s conferences and other meetings related to proposal development and grant proposals with funding officials (in coordination with project director and appropriate college faculty, staff, and/or administrators). Maintains a central file of all proposals submitted by the College; collaborates with the Business Office to initiate required federal/state/internal paperwork; develops and/or reviews proposal budgets. Prepares correspondence accepting grants and confers with project directors in preparing correspondence amending grants. Monitors and prepares institutional responses as requested to federal and state legislation and regulations which impact educational funding. Confers with other institutions, agencies, or organizations in cooperative and/or consortia agreements related to grants. Conducts proposal development workshops for faculty, staff and other agencies as requested. Develops periodic reports on grant activity at the College for presentation to the Local Advisory Board, college administration, and/or appropriate agencies/individuals; and publicizes grants information through print and electronic media. Maintains a resource development library that contains information on funding sources, research data, planning documents, etc. Maintain grants data base to track grant submission and results. |
35% | Develops and implements an effective grants management system to ensure compliance with federal and state regulations including internal dissemination of signed contracts, coordination of budget revisions, etc. Monitors regulations of funding agencies to ensure that all procedures required are in place. Administers the grants management process including internal coordination between project coordinators/directors and the Finance Office accountant; and communicates with appropriate federal/state/private funding agencies and personnel. Continuously review and update Grants Management Handbook. |
Special Projects
5% | Serves on the President’s Cabinet and Council and participates in all deliberations and resulting decisions. For activities assigned by the President, follow-through on details of proposals and actions created by the President. Implements and manages the College’s strategic planning process. Develops in partnership with staff, relevant, specific and measurable objectives and action plans for the work unit in accordance with the College’s Strategic Planning process. Involves unit staff in the development of objectives and action plans and communicates frequently with college officials regarding progress and measurable outcomes being made. Cooperates with others to accomplish common goals; works with employees within and across his/her department to achieve strategic goals; treats others with dignity and respect and maintains a friendly demeanor; values the contributions of others. Develops an Institutional Review Board process (IRB) and serves as Vice Chair of the IRB. Serve on various standing committees. |
