Reports to: Vice President of Institutional Advancement (FA096)
The Coordinator of Philanthropy serves the Foundation in engaging, cultivating, and stewarding donors and internal and external stakeholders; and in creating and implementing fundraising and resource development strategies. In support of the Vice President of Institutional Advancement, the Coordinator manages the following: major gifts campaigns, planned giving, annual campaigns, fundraising events, foundation grants development and management (as applicable, and in collaboration with the Grants Office), community and public relations, and alumni relations. The Coordinator, under the strategic direction of the Vice President, oversees and guides the acquisition of financial resources for all Foundation fundraising.
The Coordinator engages in active solicitation of support through group and individual solicitation meetings, direct mail, telephone and electronic and/or social media means. The Coordinator prepares the Foundation Board members, College President, and Vice President with the respective donor research, prospect lists, documents, and collateral materials to support the fundraising process. The Coordinator also collaborates with the Vice President and Fundraising Consultant to effectively plan and execute campaign, solicitation, and stewardship strategies.
Work Tasks & Duties
Fundraising and Stewardship of Donors, Campaigns, Alumni and Community Relations (30%)
The Coordinator develops and manages an ongoing stewardship and solicitation plan for major, planned, annual and alumni giving. The Coordinator stewards mid- to major-giving level annual and endowment giving for new or increased scholarship or other campaign funding. The Coordinator stewards major and planned gift donors and advises the Vice President on said stewardship efforts. The Coordinator will also promote the College to the service area through Foundation related programs and initiatives, and presentations to community organizations and sectors.
Major Giving
Develops major giving campaign plans, campaign budgets, and case statements. Develops and executes donor benefit recognition strategy, including but not limited to, naming opportunities, signage recognition, giving level structures, and recognition events. Oversees and leads the creation and arrangements for events, meetings and visits to facilitate gift solicitation. Coordinates and executes strategy in collaboration with the Fundraising Consultant, which may include activities such as feasibility and focus groups.
- Creates and oversees Foundation budgets for Major Giving, the Annual Fund, Planned Giving, and the Alumni Fund; collaborates with the Coordinator of Development by providing budgetary insight and guidance.
- Oversees, leads, researches, develops, and maintains targeted donor prospect lists for all mid- to major-level giving efforts.
- Runs reports and conducts giving prospect reviews.
- Facilitates and oversees major giving fundraising through online and social media outlets and direct-mail initiatives.
Planned Giving
Serves as the Foundation’s primary representative for planned giving efforts and executes the effective operation of the Legacy Society, including arrangements for events, meetings, and visits.
Annual Giving
Designs, oversees, and executes annual campaigns that may include internal and external community appeals.
- Leads identification, initiation, and cultivation of relationships with prospective donors.
- Manages and executes efforts at strategic and mid- to major giving levels.
- Leads stewardship of current and prospective mid- to major-level giving donors.
Other
- Presents to community stakeholders regarding various fundraising initiatives.
- Serves as the liaison to faculty and staff for fundraising initiatives for both the College and the Foundation.
- In coordination with the College’s Office of Grants and Special Projects, researches and authors grants submitted by the Foundation as applicable. Ensures adherence to accountability and reporting requirements for Foundation grants.
Personnel Management Responsibilities (15%)
Philanthropy Relations Officer: Serves in the supervisory capacity for the Philanthropy Relations Officer; coordinates support responsibilities for this position and its function within the department.
- Oversees and directs the Philanthropy Relations Officer in small to mid-level giving solicitation and stewardship.
- Oversees and directs the Philanthropy Relations Officer in the research, development, and maintenance of targeted donor prospect lists for all small- to mid-level giving efforts.
- Oversees efforts of the Philanthropy Relations Officer for management and administration of the employee giving campaign.
- Provides guidance for the proper management of both cash and Gifts in Kind donations.
- Oversees the Philanthropy Relations Officer’s role as the ambassador for the Alumni Association and as the staff liaison for the Alumni Council and guides strategy for alumni relations development.
- Oversees and directs Philanthropy Relations Officer’s creation of relevant user-defined required portals and their collaboration with the College’s website administration and outside vendors to ensure proper execution.
Foundation Administration Assistant: Serves in the supervisory capacity for the Foundation Administration Assistant; coordinates support responsibilities for this position and its function within the department.
Board Relations (15%)
The Coordinator, under the direction of the Vice President, will serve as liaison to the Foundation Board of Directors on all matters related, but not limited, to fundraising and grants. The Coordinator also administers to the Officers, Executive Committee, and Chairs of the Board’s Development and Nominating Committees to ensure the effective execution of the Board’s participation in meetings and activities. To this end, the coordinator serves as the staff liaison for the Executive, Development and Nominating Committees.
- Collaborates with the Development Committee to present information pertaining to stewardship, donor relations and other activities to the full Board of Directors, as well as on development initiatives and planning. Serves as the liaison for the Development Committee to ensure execution of Board directives and committee activities. Reviews Development policies and recommends revisions to the Vice President as needed.
- Collaborates with the Nominating Committee to present information pertaining to recruitment, term management, elections and succession planning to the full Board of Directors. Serves as the liaison for the Nominating Committee to ensure execution of Board directives and committee activities. Reviews Nominating policies and recommends revisions to the Vice President as needed.
- Prepares board member orientation materials and conducts orientation meetings.
- Reviews/records and edits minutes of Board and committee meetings; provides to the Vice President for review. Oversees the arrangements for meeting agendas and facilities.
Marketing and Public Relations (10%)
Conceptualizes, oversees/creates marketing and advertising materials associated with, but not limited to: Annual and Major Campaigns; the Community College Access Program; Educational Foundation scholarships; Planned Giving initiatives; and College program-related and event materials. Guides strategic messaging for target campaign/fundraising effectiveness.
- Development and production of materials, through direct creation or via vendor management.
- Oversees, leads, designs, coordinates and facilitates selected Foundation donor cultivation events such as the annual scholarship awards ceremony and strategic fundraising activities.
- Supports the Vice President of Institutional Advancement in coordinating and planning participation for Virginia Western at VCCS events.
- Creates and submits Award and Recognition materials to highlight significant Foundation achievements and promote awareness of excellence in the public arena.
- Collaborates with the Coordinator of Development to create promotional videos highlighting student and alumni testimonials and premier Foundation initiatives
- Creates speeches and advancement position papers.
- Creates Foundation presentations for both internal and external use.
- Contributes to the production of the Foundation “Impact” magazine/annual report.
- Creates media and press releases and coordinates with the College’s Marketing Office to ensure timely submission.
- Provides updated content for Foundation and Alumni websites and social media outlets, and coordinates with the Foundation’s Coordinator of Development and the College’s web team in executing changes.
Operational/Technical Responsibilities (10%)
Utilizes appropriate software and database systems to track and negotiate individual and corporate donor activities. Utilizes search engine databases and uses data to produce donor research reports. Directs the Philanthropy Relations officer and works with Development Operations Assistant to create tiered strategies and execute fundraising projects.
Stewardship Management (10%)
Leads, establishes, oversees and maintains a structured, systematic program of stewardship that will outlast changes in staff and engender solid relationships with donors. In support of the Vice President of Institutional Advancement; College and Board Presidents; and the Foundation Board of Directors, creates and produces executive personalized donor correspondence.
- Plans, coordinates and implements/oversees individual and corporate giving activities, including end-of-year appeals, donor mailings, and business underwriting activities that support the Foundation’s annual and major campaign programs.
- Oversees, creates and executes regular communications that ensure scholarship donors are informed on matters related to donations and solicitations, such as requests for support, fund balances, etc.
- Leads, designs and authors donor acknowledgement materials and thank you correspondence.
Strategic Planning (5%)
In collaboration with the Vice President, creates, prepares, revises and updates mission-critical development plans to address organizational and program needs of the Foundation and College. Present plans and supporting documents to the Foundation Board of Directors, Committee members, and College officials. Administers plan details upon implementation and coordinates with the Vice President for continuous assessment and improvement opportunities, to include development of short-term and long-term fundraising plans and projections for all campaigns.
College Representation (5%)
Supports the needs of Institutional Advancement and the Foundation by representing the college at selected events and/or meetings as the request of the Vice President, President or Board. Participates in governance.
