Reports to: Vice President of Academic & Workforce Solutions (FA010)
This position provides administrative and management oversight for the Dual Enrollment Program and supports the Vice-President of Academic and Workforce Solutions, performing a variety of administrative duties and functions. Administers dual enrollment programs with the partnership school systems, the various high schools and technical centers, and the Regional Academy.
Work Tasks & Duties
High School Dual Enrollment Coordination (55%)
- Plans and identifies in consultation with college faculty, School Deans and local high school administrators, the most appropriate dual enrollment courses and coordinates the scheduling and delivery of such courses and related services.
- Responsible for regular communications with dual instructors and high school administrators.
- Provides high schools with a calendar of dates and deadlines, procedures for checking class rosters and for entering grades and spreadsheets of dual instructors and classes.
- Responsible for developing annual dual enrollment contracts for each school system in the service area.
- Meets with parents, students and school counselors at the high school or on campus to assist with program placing students and monitoring program progress.
- Secures credentialing information to determine the qualifications of prospective dual enrollment instructors under the VCCS-29 Normal Minimum Criteria for Each Faculty Rank before forwarding to School Deans for confirmation of credentials.
Regional Academy Coordination (15%)
- Provides coordination of the on-campus Regional Academies.
Class Scheduling, Student Enrollment and Billing (10%)
- Responsible for registering dual students taking classes at the high schools and in the academies each semester.
- Initiates drop/add/withdrawal procedures for students taking classes at the high schools.
- Responsible for providing the Business Office with billing information and class rosters for each semester’s billing of local school systems.
- Assists in the coordination of the on-line application process for students.
- Inputs data in the SIS system relating to student groups, course enrollment and maintaining schedule of classes and updates information in Navigate and Image Now.
- Supports the Records Office in securing outstanding grades, incompletes, or missing grades for specific students.
- Collects and processes required VWCC and VCCS forms.
- Works with campus support services to coordinate the dual program including library services, testing center, tutoring services, finance department, student records, disability services, and credit for prior learning.
- Provides oversight to special funding initiatives and grants available for dual enrollment students including the Blue Ridge Partnership state appropriation.
Communications and Outreach (10%)
- Responsible for developing and maintaining the dual enrollment web site.
- Maintains the dual enrollment Canvas account for dual instructors and participates in the VCCS Canvas account for dual coordinators.
- Works with Marketing to update dual enrollment forms as needed and to create program marketing materials.
- Attends information sessions and at the high schools relating to the dual enrollment program and regional academies.
- Leads community information programs for dual enrollment for high school aged students and their parents.
- Participates in high school advisory boards and community advisory programs.
Program Assessment and Committee Responsibilities (5%)
- Responsible for the development, implementation, and evaluation of the dual enrollment Institutional Effectiveness plan.
- Works with the IE Office to request student course evaluations and student work samples.
- Responsible for generating reports appropriate for dual administration.
- Attends VCCS dual enrollment coordinator meetings and monthly zoom updates.
- Participates in VWCC governance committees.
Supports the Vice-President of Academic and Workforce Solutions (5%)
- Supports the Vice-President of Academic and Workforce Solutions in duties and functions of the Vice-President’s Office.
- Completes special projects for the Academic and Workforce Solutions area and other special projects as assigned by the Vice-President or the President.
- On behalf of the Vice-President, hears and helps resolve student complaints regarding academic issues in dual enrollment.
