Summary
The School of Career and Corporate Training (CCT) at VWCC plays a unique role at the college and in Virginia higher education. CCT primarily serves adult learners and is focused on transforming lives and strengthening communities by providing high quality career and workforce training. Training Specialists are key members of the CCT programs team and responsible for effectively navigating the life cycle of career and workforce training solutions, continually bringing new and improved courses to career and corporate training clients across a variety of disciplines. Whether career (open enrollment) or corporate (contract) training, Training Specialists quickly identify and Assess training opportunities, Design and Develop training solutions, successfully Implement the solutions, and Evaluate results (ADDIE model).
The Career Training Specialist will mostly focus on open-enrollment career training solutions for individuals seeking in-demand job skills and industry credentials. Open-enrollment courses in CCT are typically offered for career credit or industry credentials, not so-called college credit. Participants take courses to quickly learn new skills, prepare for and earn industry-recognized credentials, then put their newfound skills and knowledge to work. The priority development and success of career training courses is largely under the auspices of Virginia’s FastForward program. Open-enrollment courses are open to the public and offered on a continuous basis. Recent high school graduates are welcome to attend, but most participants are adult learners. Career and corporate training are not mutually exclusive as open-enrollment courses may become the basis for corporate training modules and vice versa.
This Administrative Officer position is a dedicated and focused revenue generator in CCT. According to Learning Resources Network (LERN), 12 times salary is the average new annual revenue generated by revenue generators. Six times salary is the lower end of the range and will be the goal for year three.
For example, an Open-Enrollment Training Specialist who earns $55,000/year will be expected to generate at least $330,000 in new revenue per year in year three of their employment, by delivering some combination of career and corporate training solutions, with most of the new revenue coming from the delivery of new open-enrollment courses or expanded course offerings.
The Administrative Officer embodies the four values of CCT – excellence, innovation, impact, and transformation. Project management skills are vital, as the program developer should have multiple corporate and career courses consistently in some process of development, sales, and delivery. Once a full cadre of corporate training solutions is developed and on-hand, less time can be spent developing new solutions from scratch, and more time can be spent adapting and delivering the training solutions.
This position will serve as programs team lead and requires an adult education focus with a shared quality and production mindset, and the ability to meet business, industry, government, college, department, and student expectations. Training Specialists will be accountable for course revenue and business development goals, set annually in collaboration with the Vice President of CCT. Supervising Course Coordinators, and collaborating with other Training Specialists and the Operations Manager, the incumbent will be responsible for the continued growth and performance of CCT open-enrollment career training programs.
Work Tasks & Duties
Open Enrollment Courses (45%)
Revenue generator responsible for the development, implementation, and demonstrable success of open enrollment courses. Proactively utilizes the ADDIE model (Analysis, Design, Development, Implementation, and Evaluation) and similar skills and abilities to proactively and effectively develop (new and existing) in-demand open-enrollment (career) courses, utilizing labor market data research, employer input, and analyses. Partners with industry customers and college peers to ensure alignment between expectation and delivery, including process, training capacity, short- and long-term strategy, and prioritization. Discerns and verifies a variety of open-enrollment course and program development needs through a variety of means, including the ability to divine labor market needs through labor market data and confirm details of demand (quantity, competency levels, delivery modality, etc.) through consultation with business, college, and community stakeholders. Develops new and utilizes current business/curriculum advisory committees as necessary to inform the development of courses.
Develops learning management course shells, curricula, and maintains responsibility for ensuring the designed courses achieve stated key objectives. Develops and adapts course curriculum both with and without assistance. Provides for course instruction, as needed and appropriate, oversees the business or organizational solution to be provided and ensures quality control. Secures highly regarded instructors for additional courses; assesses and approves course syllabi and/or content as needed. Monitors and positively impacts student success (e.g., student enrollment, completion, credential attainment, job placement, and satisfaction). Efficiently and effectively prepares new courses for success, oversees successful launch, and shares with Course Coordinators to primarily operate. FastForward courses are in demand across the Commonwealth. Incumbent must continually develop new courses, refresh old courses, sunset under-performing courses, with emphases on demand, quality, and production. Per LERN (industry association), position responsible for 20% new or refreshed courses per year.
Management/Supervision (30%)
As programs lead, incumbent is responsible for the development, implementation, and demonstrable success of open enrollment courses. Ensures success of all open enrollment courses and programs. Encourages a collaborative environment where goal setting, achievement of goals, stakeholder satisfaction, and the continued development of the School of Career and Corporate Training are motivating factors. Reports to and collaborates with the VP of CCT. May be called upon to represent training solutions in CCT meetings and various collaborations. Accurate, timely, and accessible record-keeping, ensuring protection of personally identifiable information.
Provides supervisory oversight to adjunct instructors teaching related courses and others according to HR policy (e.g., hiring, onboarding, performance management, separation, etc.), and in a manner that encourages CCT team member retention, high team morale, and high team performance (enrollment, sales, etc.). Maintains professional demeanor, including during passionate and transparent exchanges on team challenges and solutions. Works to develop professional relationships of trust that can thrive in the exchange of different points of view and experiences. Models core values of excellence, innovation, impact, and transformation, and (respectfully) encourages the same from others on the CCT team. Leads, supervises, and coaches CCT programs team consisting of Course Coordinators. Ensures high Course Coordinator performance and that team achieves LERN benchmarks, FastForward, VCCS, college, and CCT goals and objectives for courses. Appropriately includes Course Coordinators in new and revised course development, ensuring they have the support they need to ensure the successful launch or re-launch of courses on an ongoing basis. Aids in their successful coordination of ongoing courses. Incumbent collaborates with Operations Team lead, Career Services Manager, and others to ensure logistical supports and resources are in place, and to balance the work between assuring course performance and operational support, depending on the needs and capacity within the team and department. Includes team building, and performance management, including annual evaluations, disciplinary action, and employee development. Includes planning and providing for equipment, materials, and other course needs, such as employer interviews, placement, apprenticeships, etc.
Corporate/Contract Training (10%)
Typically assists the Corporate Training Specialist in providing corporate training solutions as needed, but is vigilant in identify needs and providing solutions on their own. Helps establish and enhance relationships across local industries to ensure Virginia Western remains top-of-mind among community stakeholders regarding corporate training solutions. Facilitates innovative collaborations with area businesses, primarily for the purpose of assessing current and future needs, and providing training solutions. Responsible for assisting in generating revenue for the School of Career and Corporate Training (CCT) through new, enhanced, and sustained business relationships-not just open-enrollment courses-resulting in paid training and educational opportunities, and business solutions.
Contributes to up-to-date, transparent, and accurate digital client management tool. Adheres to rules, regulations, policies, and practices concerning VCCS, college, and course/program regulators. Ensures accurate and timely proposals, agreements, and other required instruments are provided in alignment with department and college policies and practice. Cold calls, repeat business, and referrals are all part of the job, with repeat business and referrals preferred sales priorities. Thus, satisfied clients and their referrals are a priority. New and adapted course/solutions development will be necessary, with an emphasis on selling/providing existing curricula and solutions where possible to ensure greatest productivity. Client satisfaction, as demonstrated by repeat business, survey responses, and other means is a must, as are meeting gross and net revenue targets from a business perspective.
Course Quality and Professional Development (10%)
Proactively evaluates and improves success of new and current courses under development, including quality of instruction, curriculum, and other factors such as modality of course delivery, time of day, and student readiness. Implements quality control activities for open enrollment courses and responds appropriately to client satisfaction surveys. Regularly reports on course quality and recommends/implements improvements. Keeps current in field through appropriate professional development opportunities. Responsible for programs team meeting LERN benchmarks, FastForward, VCCS, and CCT courses/programs goals.
Regular and collegial contributor to the overall development of CCT processes, procedures, practices, and success. Establishes collegial and collaborative relationships with college faculty and staff to ensure business solutions are aligned with college goals and academic pathways, as feasible. Acts as a conduit to ensure faculty and business maintain awareness of industry/field advancements and changes from the complimentary perspective. Works effectively and collegially with colleagues and maintains quality and professional relationships with representatives of business concerns throughout the valley. Is mindful of and participates in activities designed to improve practice and productivity as training.
Other duties as assigned (5%)
Demonstrates emotional and cognitive flexibility, providing other duties as assigned-in a timely, accurate, and professional manner-in support of VCCS, college, and school of CCT missions. CCT is entering Phase II of its development and all CCT faculty and staff are expected to contribute to its ongoing development and improvement. May serve on area business and community boards or workgroups, as appropriate, and represents the VP of CCT with regard to business development.
