Planning an Event This Year?

If you are planning an event or hosting a meeting, please remember to review our college event planning tools, linked here:

A quick event planning checklist:

Additional details about policies and processes regarding events are listed on the Policy Page (V-5: Use of College Facilities):

A few quick tips:
1. Please limit your timeframe for entering FMS work orders for event set ups between 2-3 weeks out from your event. (More than 3 weeks is not necessarily better.) If your event needs more than 3 weeks advance planning with FMS, contact by a phone call or email to discuss your needs. Additional questions about event work orders? Contact Cathy Carroll at CACarroll@virginiawestern.edu.

2. Many college business processes require processing time. Please plan your event with adequate timeframes, especially when purchasing is required.

3. When entering your calendar request, please list the start time as the actual event start time. Use the set up/clean up boxes to request the room before/after the event. This ensures your event will have the correct start time displayed on the calendar. The room will be reserved for the time before and after the event based on the time entered for set up/clean up.

4. Having guests from off-campus at your meeting? They may need access to the wifi network. Enter your requests ahead of time: HelpDesk@virginiawestern.edu
