New Event Policy Available

Summary

A new policy is now in place governing facility use. An information session will be held on January 11, 2024 to review the policy and guidance document. Anyone who plans and/or executes campus events is encouraged to attend the session.

A new policy is now in place governing facility use. The former policy covering facility use, II-6, which outlined facility rentals has been removed and the new policy, V-5: Use of College Facilities, has been added:

The new policy requires that facility usage be internal and support the mission of the College. College facilities are no longer available for rent.

If you receive an external request for meeting space, here is a sample email response:

Thank you for considering Virginia Western for your event/meeting. Virginia Western does not rent any facilities and requires that facilities usage be internal and support the mission of the College.

Roanoke City has numerous facilities worth exploring, including, but not limited to: City Market Building/Charter Hall, Jefferson Center, Hotel Roanoke, Roanoke Higher Education Center, Taubman, Center In The Square, The Patrick Henry, Hampton Inn & Suites, etc.

Best wishes on finding the perfect spot for your upcoming event.

Best regards,

If you are hosting an internal, mission-aligned event, you’ll notice an Internal Campus Events Guidance Document has been linked at the end of the new policy (accessing the guidance document requires VWConnect login). This document is intended to guide your event/meeting planning. It provides detailed instructions and guidance for reserving your space, procurement, facilities work orders, technology, parking, transportation, marketing, and more.

An information session during Spring in-service will be held to review the policy and guidance document. Anyone who plans and/or executes campus events is encouraged to attend the session.
