Purpose:
To comply with federal and state laws, acts, and Department of Human Resources Management (DHRM), Virginia Community College System (VCCS), and other Commonwealth of Virginia state agency mandates.
Definitions:
Employee – Any person employed by the college conducting college business including full-time faculty, adjuncts, full-time classified staff, and all hourly employees.
Third Party – An individual who is not a state employee, but who has business interactions with state employees. Such individuals include, but are not limited to: customers (including applicants for state employment or services), vendors, contractors, visitors, volunteers, or strangers.
Policy:
In accordance with federal and state laws, including DHRM and VCCS policy, employers must ensure that a variety of training is provided to their employees. Most mandatory training to be completed by college employees is offered online through the Commonwealth of Virginia’s Learning Center (COVLC) and must be taken within 60 days of hire, or earlier if dictated. Many mandatory trainings are only required once during the course of employment; however, there are trainings which require periodic official updates due to policy changes or are required annually. The schedule of mandatory training topics and frequency can be found as a link in the college’s Mandatory Training for Employees Procedure and on VW Connect.
The Code of Virginia § 2.2-4201 requires contractors who spend significant time working with or working near state employees to complete sexual harassment training developed by DHRM. Upon review of contracts, Virginia Western procurement officers will ensure that completion of Preventing Sexual Harassment training is part of the contract obligation and that training is completed within one year of the contract begin date. Agencies must also ensure that college contract workers and other third parties are made aware of the college’s Civility in the Workplace policies and are provided with an opportunity to review the COVLC related training.
The college’s policies, “Civility in the Workplace: Harassment and Bullying“, and “Civility in the Workplace: Campus Workplace Violence and Prevention” can be found on the Virginia Western Internet site under College Policies. Third parties may request a paper copy of the COVLC training and policies from the college’s Human Resources Office by calling 540-857-7282.
Supervisors and employees must adhere to and abide by all established applicable policies and procedures.
