Deadlines for these rosters are extremely important. Please check your email and mailbox regularly. Please help us by getting these to us on time.
You can access your class rosters through PeopleSoft (see instructions in My VWCC Survival Guide). Please check your class roster regularly. You should check them before each class during the drop/add period as your roster will change during that time. You should check it every week or two during the rest of the semester, specifically looking for students who are either mysteriously dropped or added from your class. If you find such a situation, call, or have the student call, the Admissions Office immediately. It is very important that these situations be resolved prior to grade rosters being generated toward the end of the semester.
The no-show roster is used to report any student that has never attended an in-class class or has never made contact with a distance learning faculty member. If they attended at least one class or contacted a distance faculty member do not report them, even if you have not heard from them since then. This roster is driven by the financial aid process. Failure to comply could put the college's ability to give federal financial aid in jeopardy, making this an important process.
These rosters will be put in your mailbox shortly after the start of classes and an email will be sent letting you know that they are there. Please use only the rosters that are provided for you and return them by the due date.
If you report a student on the roster, please be sure to remove them from your Blackboard site. This is important as we have had a number of circumstances where students decide later in the semester to start participating and complete work in Blackboard. This puts the college in an awkward position.
When students are dropped, they will not receive a refund of their tuition, they will not be reinstated, and they will not receive financial aid for the class.
Because students figured out quickly that they could come to one class, avoid being turned in as a no-show, then drop out and continue to receive financial aid, we started using the withdrawal roster. This roster comes out at the 60% mark of the semester, just before the last day to withdraw without a grade penalty. Please turn in any student that has stopped attending your class on this roster. This roster is more difficult in that sometimes it is hard to know if a student has stopped attending. Please do your best and ask if you have a student that you are unsure about. If they have stopped and you don't catch them, they will be caught on the grade roster. Like the no-show roster, please use the roster that is provided for you. Unlike the no-show roster, don't remove the student from Blackboard, but rather make the course unavailable to them.
Grade rosters are done in PeopleSoft (see instructions in My VWCC Survival Guide). The due date for these is firm. Please have these in by the due date. That date is usually at 9:30 a.m. and the division office begins calling those who have not turned them in at 8:00 a.m. Please don't be on that call list. The Records Office posts grades for the college at one time. Any late grades must be hand entered. This is time consuming and often takes several days. In the meantime, students will see a "*" rather than a grade.
When submitting grades, you need to use a place holder date for any student that received an "F" in your class.
For students that stopped attending prior to or on the withdrawal date, enter the date 01/01/1900. For financial aid purposes, this is an unearned grade.
For students that stopped attending after the withdrawal date or whose academic performance earned them a grade of "F", enter the date 12/31/9999. This is considered an earned grade for financial aid purposes.
