What is the contact information for important offices?

How do I get to Chapman Hall?

Chapman Hall is located next to our Bookstore on the South Campus. If you are coming from Towers Mall, you will continue down Colonial Avenue. After going under our pedestrian bridge, make the next left on Winding Way Road. At the top of the hill, turn left into our parking lot and bear to your right. Student/visitor parking is in this area. A campus map may be accessed from the Virginia Western website.

Do I need a student parking permit to park?

No, students do not need a parking permit. However, students must park in the spaces marked in white; reserved spaces are marked in yellow. Copies of Virginia Western Campus Police brochure "Traffic and Parking Regulations" may be obtained in Chapman Hall from any of our offices, from Campus Police in the College Services Building at the stoplight at Colonial Avenue and Overland Drive, or on the Virginia Western Campus Police website.

What types of financial aid are available?

We have grants/scholarships, Stafford and Parent Plus loans, and work-study. Grants, loans and work-study require the Application for Federal Student Aid (FAFSA) be completed. For additional information, please visit the VWCC Financial Aid website.

Are there other sources of financial aid available?

There are local, state, and national organizations that provide scholarships. Information can be found on the Financial Aid & Veterans' Affairs Office bulletin board in Chapman Hall. The Internet also provides information. We recommend using the Federal Student Aid website.

How many credits do I have to take to be considered a full-time student?

12 credits in the fall and spring semesters and 8 credits in the summer semester are considered full-time for students; however, for financial aid purposes, full-time is 12 credits.

What financial aid is available for part-time students?

As long as a student is enrolled for a least 6 credits they will receive consideration for most types of financial aid. Grants are based on income. Most scholarships are awarded to full time students, though there are exceptions. Pell and PTAP (state grant) are also available to students taking 1 - 6 credits.

What is the application deadline for applying for financial aid?

Students should apply as early as possible. It takes 3-4 weeks for us to process the application and post the award on the system. All grants, except for Pell and Loans, are on a first-come, first-serve basis. Students can apply anytime during the year, however, they should be prepared to pay tuition and books, and receive reimbursement if they have no award on the system at the time tuition is due.

How do I apply for financial aid / Pell Grant?

Students can complete the Free Application for Federal Student Aid (FAFSA) directly over the Internet at www.fafsa.ed.gov. Paper applications are available in the Financial Aid Office in Chapman Hall. A student can receive assistance completing this form in the Financial Aid Office. They will need their 2006 federal tax return and dependent students will need their parent's 2006 federal tax return. When you complete a FAFSA, you are automatically considered for a Pell Grant.

If my parents are separated or divorced, do they both have to complete the FAFSA?

Only the custodial parent must complete the FAFSA. If the custodial parent is married, information about the step-parent is also needed.

What does my Expected Family Contribution (EFC) number mean?

EFC is the amount you and your family are expected to contribute toward your education. It is derived from the information you submit on your FAFSA form. The EFC number is used to determine what types of financial aid you will be awarded from the college.

What is VWCC's Title IV school code?

Our school code is 003760.

What is a PIN?

A PIN is the code that will allow you to: sign your electronic FAFSA, retrieve the file to make corrections and view your FAFSA, access the renewal FAFSA, or give you access into the National Student Loan Data System (NSLDS). The Web site to apply for a PIN is www.pin.ed.gov. You need to have a PIN when you do your FAFSA electronically, so that it will be officially processed.

What do I do with a Student Aid Report (SAR) that I receive in the mail?

You need to review it and make sure all the information is correct. If you did not list VWCC, you will need to bring the SAR report to the Financial Aid Office for us to correct.

When can students (receiving Financial Aid) charge books?

Textbooks and supplies can be charged in the Campus Bookstore beginning approximately a week before the semester begins.  For the exact date for a specific semester, contact the Bookstore. Students must be taking at least 6 credits to charge books, and they must have a credit balance once their tuition is charged to their financial aid.

What if I have a credit balance on my student account? When are the Pell Checks ready?

If you have a credit balance on your account (after tuition and textbook charges have been paid) you will be mailed a check 6 to 8 weeks into the semester. The checks are mailed from the State Treasurer's Office in Richmond, VA directly to the student's mailing address.

How do I get a work-study job?

First, you must check the box for Federal Work Study on the FAFSA form and be enrolled in at least 6 credits. The Financial Aid Office will send you a letter to confirm that you are interested in work-study. The work-study request is then reviewed by the Financial Aid Officer to verify that the student is eligible - it is based on your financial need.

Can I talk to a counselor before I apply?

If you are not certain about whether or not you wish to attend VWCC, you may speak to a counselor before applying to help you with your decision. However, if you are fairly sure that you wish to attend, we prefer that you apply for admissions before speaking with a counselor. This provides the counselor with relevant information to help guide you in the right direction for your studies, and allows them to add information to your record.

What do I have to do to become a student?

The first step to becoming a student is to apply to the college. Applying is easy! Just go to www.virginiawestern.edu/admissions/applyforadmission.html. Once you've applied, it is helpful to see a college counselor, take any placement testing necessary, and then you are on your way.

Does Virginia Western have an application fee?

No.

I have been away from Virginia Western for ten years. What do I need to do in order to be eligible to register for this semester? Do I have to re-apply if I've attended before?

Returning students who have not been enrolled in credit courses at the college during the past three years must reapply by resubmitting a VWCC application for admission prior to registration. You will need to reapply to reactivate yourself in the system, and then see a counselor for advising if you are going into a curriculum or registering for English or math. However, if you have attended the college any time within the last three years, you will not need to reapply.

I did not graduate.I don't have a GED.I did not take SAT's.can I still attend college?

Yes, you can still attend VWCC. However, it will be necessary for you to take placement testing prior to registering for classes.

Do I need to have an official copy of my high school and/or college transcripts sent to VWCC before I meet with a counselor?

An unofficial transcript will be sufficient for advising, to be followed with an official transcript sent to the Admissions Office if you desire your credits to be transferred to Virginia Western or if you are applying for one of our allied health programs (nursing, commonwealth nursing, practical nursing, dental hygiene, radiography, or radiation oncology). However, if you have transfer credits from another Virginia community college, you are not required to submit those transcripts. If you are not a degree-seeking student or wanting to enroll in an English or math course, you do not need to have a transcript sent to VWCC.

Do I need an appointment before I am able to speak with a counselor and what are your office hours?

The Counseling Office is open on a walk-in basis - no appointment necessary. During peak registration time, our office hours are 8 AM to 6:30 PM -- regular office hours are 8 AM to 5:30 PM.

I just graduated from high school. What if I complete my Associate degree at VWCC? Will those credits transfer to another college?

The Associate of Arts (AA) and the Associate of Science (AS) degree programs are specifically designed for students who want to transfer to a four year college or university. Senior colleges readily accept VWCC courses that are designed for transfer. All senior public institutions in Virginia have prepared transfer guides which provide detailed listings of which courses will transfer from VWCC and other community colleges. For additional information, you may stop by our Counseling Office located in Chapman Hall, and a counselor will be glad to assist you.

If I have credits from another college, will they transfer to VWCC?

If you wish to have your transcript evaluated for possible transfer credit, you must complete a Request for Transcript Evaluation form in the Admissions, Records, or Counseling Offices. In determining transfer credit, course work applicable to the curriculum at VWCC will be accepted if the work completed an institution is applicable to your program at the college, if the course / content / level of instruction is at least equal to the content / level at VWCC, and a comparable course has been taught within the Virginia Community College System. Generally, no credit will be given for courses with grades lower than a "C".

Is it wise for a high school student to start taking classes while he/she is currently in high school?

Yes. If a student shows the initiative to take college courses, it could save them time and money before transferring to a four year institution. It may also provide for an easier transition from high school to a four year institution.

After I completed the online application, the computer said that I must meet with a counselor and take a placement test. What is a placement test?

A placement test evaluates your knowledge in the areas of reading, writing, and math. We want you to be successful here at VWCC. The placement test gives us a guideline to use to meet your needs at the initial stage of your educational goals at Virginia Western.

High school grades and/or college transcripts within last 3-5 years and/or recent SAT/ACT scores.

Does it cost to take the placement test?

No.

Am I allowed to retake the placement test?

Yes, three times in an academic year.

I have already taken this class before, but would like to retake it to improve my existing grade. Am I able to repeat a class?

Yes, but you may want to speak with a Counselor in C105 before doing this as there are restrictions and implications for doing so.

I have taken a class twice before, but with no success. Am I able to register and attempt to repeat it for the third time?

Yes, with permission guidelines outlined on the Course Repeat form that you can obtain in the Admissions or the Counseling offices.

What degrees and/or certificates am I able to receive that are completed totally online?

General Studies, Social Sciences, and IT-Web Scripting and Design Career Studies Certificate, with the exception of a public speaking and science course you may be required to take.

What do I need to do to change my program of study?

If you have questions regarding a certain program or certificate, you can come in to the Counseling Office, request a program change and get program details and ask questions concerning the new program you are considering. If you know for certain the program change that you want, then the form may be picked up and filled out at the Records Office in Chapman Hall, Room 107.

How do I register and pay for classes online?

To register for classes, simply login to MyVWCC, click on VCCS SIS8.9 Student Information System, Student Center, and then Add a Class. To pay online, login to My VWCC/click on VCCS SIS 8.9, Student Center, Account Inquiry. Payments can also be made in person at the Cashiers' window in Chapman Hall, by credit card, check, or cash.

When is the first and last day to register?

The first and last dates to register for classes each term can be found online at www.virginiawestern.edu/admissions/calendar.php.

When is my tuition due?

Current tuition information can be obtained from of our website and the Admissions Office. Tuition is due at the time of registration.

If a class is full, can I go to the instructor and request to be added to the class?

No, an instructor does not have the authority to do this. You may visit the specific division office that is responsible for the class and ask about being added to a wait list or you may complete a Closed Class Request Form in the Admissions Office.

How can I sign up for the Motorcycle safety class and why would I have to fill out an application to the college?

Because this course is offered for credit, it is necessary to have a current application on file so you can register for the class. Once you have completed an application to the college, you can register and pay your tuition on-line without coming to the campus.

I met with a counselor and they helped me make my class selections. Am I able to change my choices of classes or will there be a block on my enrollment for anything other than the classes that I was advised to take?

Yes, you will be able to change your classes, unless there is a block on your account preventing registration (ex. Home schooled/dual-enrollment student, etc.). However, if you are unsure of your course options, you should check with a counselor before making schedule changes.

Why am I being charged out-of-state tuition?

The majority of the time that a student is charged out-of-state tuition is a result of not having completed the application for in-state tuition or may not have provided the supporting documentation that was requested (parent's signature, independent student declaration, a copy of your federal and state tax returns, etc.). However, you may also have been deemed to be out-of-state because you have not lived in Virginia, with the intent to remain a Virginian, for a period of at least one year prior to the beginning of the term for which you are enrolling.

Why is there a hold on my account?

There may be a hold on your account due to a variety of reasons: you may require placement testing before registering for classes, have missing INS documentation, owe money to the college, or have missing or incomplete residency data. This question is handled on a case-by-case basis.

I am trying to register, but it will not allow me to do so. What could be the problem?

There may be numerous reasons for your inability to register. You may check with Admissions or Counseling to explore your unique situation, visit the VWCC website, or call the college Help Desk at 540-857-7354 for possible solutions.

Why did I get dropped from my classes?

Most of the time, students are dropped because their tuition was not paid by the payment due date. In a lot of cases, financial aid awards have not been posted, and this also causes classes to be dropped. If a company is paying your tuition, the college Cashier's Office must be notified so they may bill the company. Lastly, the class may have been cancelled.

My schedule shows that I'm in a class, but why isn't it showing on Blackboard?

It is possible you have not been loaded into Blackboard yet. This is done on a daily basis until the last day to add a class. After that date, your instructor has to have you manually added.

I dropped my class, but why is it still showing on Blackboard?

Just like being added to Blackboard, you must also be dropped from Blackboard. Please contact your instructor so he/she can drop you from Blackboard.

Can VWCC print my schedule for me?

Yes, your schedule can be printed on campus. However, you can also log into your MyVWCC account and print your schedule.

My instructor said that my grade was posted when my classes ended. Why can't I see the grade online?

Although your instructor may have entered your grade before the semester ended, grades are not officially posted until after the end of each semester.

I believe my grade was wrong. How do I get it changed?

Once a grade has been awarded, it is normally permanent. However, in situations where there are documented, mitigating circumstances, or an uncontested error, grade changes may be requested within one year of the receipt of the grade in question.

I was told that I could get my old grades of "F" removed from my record. Is that true?

If you were separated from the college (not enrolled) for a period of at least 5 years (minimum of 60 months), and then earned at least a 2.5 GPA for the first 12 credits completed after re-enrollment, you may petition for Academic Renewal in the college Records Office. Academic Renewal (or Grade Forgiveness) does not remove the grade from your record, it removes the grades of "D" and "F" from your cumulative GPA. If you have any questions, you may contact the Records Office.

How do I request to have my transcript sent to another college?

You may send a written request (a note with your name, address, telephone number, student ID, SSN, your signature, and the address where the transcript is to be mailed), or stop by the college Records Office in Chapman Hall to fill out a request form. You may also request a transcript online at MyVWCC. There is no charge for a transcript.

I'm a former VWCC student (over three years of non-attendance). Why can't I request my transcripts on-line?

Unfortunately, our on-line system is only set up for current students and those who have been in attendance within the last three years. Transcripts can be requested by fax, mail, or stopping by the Records Office.

If I need to request that a copy of my Virginia Western transcript be mailed to another college, who do I need to speak to?

You can access the form from the Records Office in Chapman Hall, Room 107 or download the Transcript Request form from their website, fill out the form and fax or bring it to the Records Office.

When you send my VWCC transcripts, can you send my high school/other college transcripts?

When you request transcripts, only your Virginia Western transcripts are sent. You will need to contact your high school or previous college/university to request official transcripts.

How do I apply for graduation at VWCC?

In order to graduate from VWCC, you must fulfill all of the course and credit requirements of your degree curriculum with at least 25% of the total semester hours acquired at VWCC. Once you've met these requirements, you may complete an application with your academic advisor. The deadline to apply for graduation is approximately one month after the beginning of each term.

I have completed the courses needed for a certificate. Do I still need to apply for graduation?

Yes, all students meeting the requirements for their plan of study MUST apply for graduation.

I have moved and my address has changed and/or I have recently gotten married (or divorced). What is the process for giving the college my correct information?

You will access the form from the Records Office in Chapman Hall, Room 107 or download the Contact Update request form from their website, fill out the form and fax or bring it to the Records Office.

My insurance company needs verification that I am a full-time student in order to be carried on my parent's health insurance policy. Where do I go to have my form completed and attendance verification mailed to the insurance company?

I do not have any idea about what I want to do for the rest of my life. I am considering a possible career change. What do I need to do or where do I start?

Come in to our Hall Associates Career & Employment Assistance Center located in the Student Center. They can help you explore the resources that VW offers to students who are undecided about their future educational goals and / or career.

The VWCC web site is difficult to find what I need; can you please make it more user friendly?

There have been changes made to our web site that have actually made it more user friendly, and changes continue to be made. If you have any questions regarding how to find something on line, please do not hesitate to ask us. We'll be happy to help you!

How do I find out which books are needed for my classes, and when can I get them?

The VWCC Bookstore website has a feature that allows you to print a listing of the required books, and their costs, for your classes. You can also visit the bookstore with a copy of your class schedule, and they will assist you in obtaining the correct books. If you have financial aid, contact the Bookstore to determine when you may buy books and charge against your aid.

How can I get AP credit for classes I have taken in high school?

First of all, you must be enrolled in a program of study and then you must provide official transcripts. You may obtain an official transcript of your AP exam at:

How do I obtain my GED?

You may contact the Virginia Employment Commission at 540-561-7525 to enroll in their 11-week course for $30.00, or contact the Social Worker's office at the Roanoke County Administrative offices (for Roanoke County), Pam Garrison, 540-562-3900 Ext. 10191 or contact the TAP offices (for Roanoke City) at 540-767-6620 Ext. 7313.
